
One of the nicest and most stable small law firms in DC located near Dupont Circle Metro seeks a HR/Accounting/Administrative Assistant. This position is primarily responsible for assisting the Executive Director with human resources, accounts payables and other administrative tasks such as confidential filing and event coordination. The EAA is personally responsible for maintaining the confidentiality of all matters with which they work on.
Administrative Duties:
- Maintains Executive Director’s Confidential Files.
- Maintains Administrative Calendar.
- Prepares schedules, analyses, and other ad hoc reports as requested.
- Assists with marketing projects such as holiday cards, mailings, conference planning.
- Coordinates Administrative and Firm events such as holiday party and picnic, as well as administrative lunches.
- Coordinates routine Firm maintenance such as carpets and plants.
Personnel Functions:
- Coordinates attendance and coverage assignments of Support Staff.
- Assists with the hiring and orientation of new personnel.
- Maintains organized, up-to-date, and lawful Personnel, Medical and Evaluation files and records for all employees.
- Coordinates enrollment in and maintains accurate rosters for all benefits programs and reconciles them monthly to Payroll records and General Ledger.
- Uses cautious judgment when fielding or referring benefits questions from employees.
Payables:
- Reviews, reconciles, and processes payment of vendor invoices and employee expense reports and flex reimbursements.
- Keeps payment files up to date and organized.
- Researches client costs at the request of attorneys or the Billing Coordinator.
- Routinely requests and maintains files of vendor W-9s.
- Prepares and distributes annual 1099s prior to January 31 each year.
- Prepares federal and state submissions of 1099s on a timely basis.
Qualifications Education and Experience:
- Bachelor’s Degree preferred.
- Experience working with accounting software preferred.
- Experience with personnel records and payables processing required.
- Knowledge of basic labor and benefits practices and laws required.
Computer Skills:
Must be comfortable with using the computer and have functional knowledge of Microsoft Office applications, especially Word and Excel. Must be comfortable using accounts payable software module of a standard accounting software program.
Salary: $50,000 - $60,000, 9-5:30, 15 days Paid Time Off (“PTO”), subsidized health insurance, and other employee insurance programs for which the Firm pays entirely such as short term disability, long term disability, life and AD&D insurance.
