The Intellectual Property (IP) Assistant Docket Manager is responsible for the integrity of the firm’s IP docket database which specifically includes maintaining the cases, processing IP related correspondence into and out of the firm, as well as executing various reports and distribution of daily reminders for clients and attorneys.  In addition, the IP Docket Coordinator will assist the Global IP Docket Manager directly with overseeing and prioritizing the daily workflow and functions of the 6 IP Docket Technicians.

  • Assist with oversight of the Patent and Trademark Docket Technicians by ensuring that all responsibilities have been met and adhere to firm requirements.
  • Assist with training of the Docket Technicians in both Docket Centers (United States and Australia) by providing day to day guidance and assistance to all Patent and Trademark Docket Technicians, with special attention to newly hired Docket Technicians.
  • At the direction of the IP Docket Manager and IP Project Manager, assist with coordinating the intake of new client patent and trademark portfolios.
  • Provide quality control of the IP docket database to ensure the highest level of accuracy for the firm.
  • Collaborate with the IP Docket Manager on a daily basis to ensure that the balance of work is distributed appropriately among the Docket Technicians.
  • Perform the duties of the Docket Technicians (set forth below) as required due to scheduled absences and the balance of work flow.
  • Process incoming mail daily, including but not limited to IP related correspondence from the United States Patent and Trademark Office, Australian Patent and Trademark Office, International Agents, and Inter-Office communications amongst attorneys and staff.
  • Generate/Distribute daily reminders to the IP attorneys and staff for upcoming deadlines with relation to the IP Docket Database.
  • Ensure that all deadlines with relation to the IP Docket Database have been satisfied by the end of business each day by communicating directly with attorneys to identify all requirements have been met specific to the patent and trademark docket.
  • Monitor/Update information on all patent and trademark domestic and international cases in the IP Docket Database with relation to client communications, government notifications and international agent correspondence.
  • Review outgoing USPTO mail/filings for accuracy and completeness by adhering to the firm’s approved best practice policies.
  • Conduct periodic status checks and participate in docket audits via the use of government websites and communication to international agents.
  • Generate various reports as requested for clients or attorneys on an as needed basis.
  • Maintain current knowledge of IP rules and procedures, both domestic and international.
  • Assist the accounting department with the reconciliation of the firm’s deposit accounts for the United States, WIPO, and Europe by ensuring that all charges are accurately allocated to the appropriate client/matter number.
  • Assist accounting with the processing of patent and trademark debit notes received by the firm from international associates by researching the charges as necessary and coding with the appropriate client/matter number.
  • Coordinate other duties/special projects as assigned by the IP Docket Manager.

Desired Skills and Experience

  • Experience with patents, trademarks, copyrights, domain names, trademark oppositions, patent exparte reexaminations, and other IP matters
  • Proficiency in MS Office Software products: Word, Excel, Outlook and PowerPoint
  • Proficiency and previous experience with IP Docketing Systems (PATTSY preferred).
  • Previous experience and knowledge of domestic and international patent and trademark prosecution procedures.
  • Ability to organize, prioritize and complete tasks by adhering to the firm’s best practice policies in place.
  • Strong attention to detail.
  • Exude professionalism at all times, in all situations.
  • Strong work ethic and ability to work independently and as part of a team.
  • Interpersonal and communication skills required to interact with lawyers and staff.
  • Internet research skills.
  • Availability to work overtime as requested.
  • 5 + years of related experience, previous law firm experience preferred.
  • Previous supervisory experience.
