3-5 years of administrative and/or secretarial experience with a minimum of 1 year of legal experience needed to provide administrative, client services and word processing support to the Chair of the Compliance, Investigations & Enforcement Practice group. A great outgoing dynamic partner who is losing their secretary after 20 years.

You will plan, coordinate and ensure that schedules are followed and respected, and that all tasks are completed in a timely manner. You will manage and coordinate extensive international and domestic travel arrangements with complex itineraries to include sedan service, knowledge of international customs, hotels, restaurants, entertainment and meetings for attorneys and clients. You will also organize logistics for client and prospective business meetings. Maintain good communication with clients and attorneys. Oversee practice group activities including seminars, social events, receptions and internal meetings. Manage, maintain and update contact database. Create, edit and proofread legal documents. Set up and maintain files and records. Prepare client billing. Input time entry. Prepare expense forms. Maintain standardized list of attorneys’ matters including client/matter numbers and descriptions, function codes, etc. Monitor incoming emails, prioritize. Make telephone calls, place conference calls, schedule appointments, reserve conference rooms and order lunch when requested.

You will work with other assistants in the group to maintain coverage at all times and relieve one and other when necessary.

A College degree is strongly preferred. International travel or living abroad for school or work is a plus. Excellent communication skills, well-spoken, polished demeanor, with the ability to positively interact with VIP clients and guests. You must have a strong sense of urgency, ability to initiate, self-starter. Ability to multitask, organize and prioritize under pressure. Detail oriented. Proficiency in Microsoft Office Suite. Ability to type 55-65 wpm.
