Legal Billing Specialist

Location: Washington, DC, near the Orange Line Metro

A hybrid model of 3/2 (Tuesday, Wednesday, and Thursday in the office) and hours of 9-5:30 with paid overtime

$65,000-$85,000 and bonus

The firm seeks an experienced Legal Billing Assistant-Specialist to support the DC office in preparing, editing, and revising complex client bills and occasionally assisting with the business collection process.

As the Billing Specialist, you will:

    • Review all New Account Memoranda for completeness; activate clients/matters and input special billing instructions.
    • Prepare, review, edit, and present pre-bills to billing attorneys.
    • Coordinates multiple billing memoranda for the preparation of combined bills.
    • Review billing memoranda for attorney edits, draft client bills, and/or e-bills for review by the appropriate attorney.
    • Investigate inquiries regarding client charges as requested by the billing partner.
    • Reformat/edit and finalize bills after review and approval by an attorney.
    • Enter information into the Firm’s accounting system and compute amounts due.
    • Prepare bills, listing chargeable items, amounts due, credit terms, and dates due.
    • Present bills to clients upon the supervising attorney’s request.
    • Post transactions to accounting records in the Firm’s accounting system.
    • Communicate with the client upon the supervising attorney’s request, regarding overdue bills or billing issues raised by the client.
    • Operate the Firm’s accounting system, computer equipment, and telephone equipment in performance of daily duties; effectively uses the telephone and word processing functions necessary to perform required job duties. Actively seeks out the firm’s technical resources to maximize efficiency. Properly manages electronic documents for easy retrieval.
    • Support the larger local and national finance team and other CSRs in overflow work assignments and coverage for absent CSRs.
    • Maintain files in an organized manner and in accordance with firm procedures; maintains current lists of file numbers, account numbers, client names, addresses, and other information as required.

    Requirements:

    Qualified candidates must have an Associate’s degree (A.A.) or equivalent from a two-year college or technical school; a minimum of one year of related experience and/or training, preferably in a law firm; or an equivalent combination of education and experience.

    Excellent verbal and written communication skills and excellent customer service skills.

  • Proficiency with Microsoft Office products, such as Microsoft Excel and Microsoft Word, is required. Strong mathematical and attention to detail skills are also required.
