Legal Billing Specialist
Location: Washington, DC, near the Orange Line Metro
A hybrid model of 3/2 (Tuesday, Wednesday, and Thursday in the office) and hours of 9-5:30 with paid overtime
$65,000-$95,000 and bonus

As the Billing Specialist (CSR), you will provide full-service administrative and financial support to assigned attorneys and/or legal assistants of the Firm. This role is responsible for overseeing the billing process, preparing invoices, compiling data, and recording information into the Firm’s accounting system.
Please have at least three years of law firm experience, Elite, CMS, Aderant Expert billing software experience, and work well in a team environment
The firm seeks an experienced Legal Billing Specialist – CSR to support the DC office in the following duties:
- Prepare, edit, and revise client bills and assist with the collection process.
- Review all New Account Memoranda for completeness; activate client/matters and input special billing instructions.
- Speak with clients by phone or in person and answer billing-related questions; refer questions to the CSR Supervisor, the Finance Manager, the billing attorney, or the designated departments for investigation.
- Read computer files and gather records to compile needed data.
- Enter information into the Firm’s accounting system and compute amounts due.
- Prepare bills, listing chargeable items, amounts due, credit terms, and dates due.
- Prepare, review, edit, and present pre-bills to billing attorneys.
- Post transactions to the Firm’s accounting records.
- Operate the Firm’s accounting system, computer equipment, and telephone equipment in performance of daily duties; effectively use the telephone and word processing functions necessary to perform required job duties. Actively seek out the firm’s technical resources to maximize efficiency. Properly manage electronic documents for easy retrieval.
- Handle telephone inquiries independently, provide information to callers, or route to the appropriate person; is able to assess the urgency of calls and respect the confidentiality of each matter; maintain log and/or prepare accountability for long-distance charges.
- Support team and other CSRs in telephone coverage, overflow work assignments, and coverage for absent CSRs.
- Maintain files in an organized manner and in accordance with firm procedures; maintain current lists of file numbers, account numbers, client names and addresses, and other information as required.
- Experience using eBillingHub and other eBilling platforms. Responsible for onboarding new clients, submitting invoices, and responding to client inquiries. Resolve rejections and reductions and generate aging reports.
- Requirements: Qualified candidates must have an Associate’s degree (A.A.) or equivalent from a two-year college or technical school; a minimum of one year of related experience and/or training, preferably in a law firm; or an equivalent combination of education and experience.Excellent verbal and written communication, as well as customer service skills.
- Proficiency with Microsoft Office products, such as Microsoft Excel and Microsoft Word, is required. Strong mathematical and attention-to-detail skills are also required.
