Human Resources Administrative Assistant – Coordinator
Washington, DC, location near Farragut North & West Metro stops.
This position will be hired now with a mid-September start date
Salary range: $80,000 to $96,000 and a bonus.
This position will be in the office 5 days a week
This fantastic, large, full-service national firm with 20 offices throughout the US seeks an experienced HR Assistant/coordinator to join their collaborative and well-established HR team in DC. The average tenure in the firm is 15 years.
M-F –8-4:30 – Occasional paid overtime
The wonderful DC office seeks an HR Administrative Assistant/Coordinator to report to a fantastic Human Resources Manager and support the HR Manager, the firm Administrator, and assist the attorney recruitment team.
Responsibilities:
Perform administrative tasks, including drafting documents, updating internal files, and using HRIS tools.
Support in organizing and recording all training activities, performance evaluation, and development processes
Support the recruitment process by posting ads, screening CVs, and organizing interviews.
Maintain the HR archive, ensuring all data is up-to-date.
Assist the department with meeting client-service support demands, including but not limited to providing telephone support (receiving calls, answering questions, and otherwise being helpful to callers), performing administrative tasks as requested, producing documents, uploading and saving documents, and other related tasks.
Communicate with attorneys and assist in representing the department.
Prepare mailings and internal paperwork, including expense reimbursements, messenger or courier vouchers, and other forms required by other support departments.
Schedule various events and meetings. Work with the Travel Department regarding business trips, schedule conference rooms using the Conference Room Scheduler, and order meals and refreshments for meetings as necessary. Proofread, prepare, and process legal documents and papers, including, but not limited to, editing PowerPoint presentations and documents, preparing redlines and tables of contents.
Provide dependable, flexible support. Demonstrate teamwork by providing reception relief and back-up secretarial and administrative support to others as requested by the attorneys and/or the Human Resources Manager, and the Administrator.
Prepare the new hire and onboarding documents, schedules, training, and offer packages.
Skills and Requirements
A minimum of 3 years in an HR support role, preferably in a law firm or a Professional Services firm.
A degree at the associate’s or bachelor’s level is preferred.
Advanced skills in Word (using styles, track changes, and document comparison programs); proficient in Excel and PowerPoint; Advanced skills with Outlook, Adobe Acrobat.
Knowledge of HRIS and other HR tools
Interpersonal communication skills are essential for maintaining effective relationships with partners, attorneys, clients, and staff, both in person and through various channels, including email and telephone.
Demonstrated ability to multitask and possess strong organizational skills.
