Legal Billing Specialist (E3 experience a plus)

One of the world’s premier law firms with business centers worldwide seeks a 3E Legal billing specialist who will work independently but as part of a cohesive 9-member team using an E-billing hub and Elite.

Hybrid work model of 2 days of remote work per week.

9-5 (35-hour workweek) M-F with an opportunity for paid OT after 35 hours

The range is $90,000 – $110,000 DOE, make an additional $5,000-$10,000 in overtime!

You will work with assigned partners and groups, and this is a growing role that will allow your experience and learning to advance. The partners are very respectful and go out of their way to be hands-on with the Specialists. This is a great opportunity to interact with lawyers and clients.

As a Billing Specialist, you will assist attorneys with preparing bills for clients, ensuring that the client bills are processed timely and following the client agreement. You will answer billing questions, research billing-related issues, and prepare and distribute billing proformas, invoices, and reports. You will act as the billing adviser to attorneys and legal secretaries, ensuring that all transactions are recorded according to accounting standards.  You will regularly collaborate with other accounting departments, including e-billing, Accounts Receivable, Cash Applications, Cost Recovery, Pricing, Client Arrangements, Accounts Payable, and Revenue Management, to help minimize any financial exposure to the Firm.

The Ideal candidate will have:

• Medium to large size law firm experience
• 3E experience is a huge plus
• Experience generating bills
• Experience dealing with rejection issues or complicated issues

Duties and Responsibilities:

  • Performs daily billing activities to support partners, attorneys, and clients.
  • Responsibilities include but are not limited to Proforma generation and edits, creating timecard summaries, updating matter and Timekeeper rates, and running client reports at the request of the partners and attorneys.
  • Ensure timeliness, accuracy, and acceptance of invoices every month. Follow up with Billing partners and others to resolve client billing issues and ensure invoices are approved and billed.
  • Understands and ensures correct implementation of client Outside Counsel Guidelines and fee terms.
  • Ensures electronic invoices are processed accurately and efficiently. Timely resolves any rejections or reductions of electronic invoices.
  • Demonstrates professional and developed communication skills.  Ability to deal professionally and courteously with partners, attorneys, legal secretaries, accounting staff, vendors, and clients of the Firm while observing confidentiality of client and Firm matters.
  • Must be highly detail-oriented and able to handle multiple tasks in a fast-paced environment.
  • Other duties as assigned.

Requirements:

  • A bachelor’s degree or an associate degree and 2-20 years of law firm billing experience
    • Proficiency in MS Word and Excel
    • Understanding of general accounting principles as they apply to Billings and A/R
