Legal Practice Group Administrator (Immigration)

The firm is looking for a true administrator who will lead the booming immigration practice group into the next phase of success. 

Currently working remotely with an expected return to the office in November with a hybrid working model in Chicago, IL

Salary up to $165,000 with a bonus at year-end.

This cutting-edge leading global law firm with offices in over 25 major business centers across the World seeks an experienced Practice & Business Group Administrator to join our Administration department in either Washington, D.C., or Chicago, IL.

Practice & Business Group Administrator, you will support the global immigration leadership team of attorneys to manage the day-to-day workflow and help promote and advance the practice group. In addition, you will analyze practice group data (operational, financial, and talent) to identify the highest-impact strategic initiatives that will improve practice performance.

This role manages the workflow across all Practice operations to optimize quality and efficiency, leverage technology, precedents, and full scope of operational resources; Ensures firm-wide tools are being fully utilized by the Practice; Works with practice group leaders and partners to monitor attorney workloads and productivity levels to foster manageable workloads that optimize attorney utilization and support attorney development; Monitors backlog and new business pipeline to ensure appropriate resources are available to address client work volume; Collaborates with partners, business services management, and HR on paralegal and business services staff performance management including providing ongoing performance feedback and ensuring roles, responsibilities, productivity, and profitability are defined and monitored as needed; Manages Practice meetings and events calendar, and owns creation of associated, Practice-specific communications; Establishes and implements best practices, repeatable models, standards, controls, and monitoring procedures; Collaborates with the Business Development & Marketing team on RFP responses, marketing initiatives, and thought leadership promotions; Collaborates with paralegal management to ensure the paralegal team is working at efficient levels to meet department goals and profitability; Assists practice group leaders with general administrative activities and serves as a resource for coordination with other practice groups and administrative teams; Leads change management efforts within the Practice through formal communications and informal influence with Lead Partners; Manages cross-functional projects to established timelines and budget; Manages technology initiatives working closely with the IT Department, including identifying and implementing tools to streamline existing/new processes, as well as development, rollout, and training for new systems; Oversees and manages the use of external resources to optimize quality and efficiency; Monitors achievement of metrics for service levels, quality control, and financial objectives; Works with the Financial Planning & Analysis team to review and analyze financial performance of the practice group; generates proposed solutions for areas of opportunity and/or concern, for review with Practice leadership; Manages the departmental budget and expenditures, including monitoring expenses and reviewing monthly budget variances; Monitors compliance with fee arrangements and ensures timely billing of each matter in accordance with those arrangements; Liaises with billing leadership to ensure billing operations are meeting the needs of the practice; Liaises with Client Financial Services group on collections matters; Tracks and reports progress on key initiatives as required; Performs other duties as assigned or required to meet Firm goals and objectives

Ideal Candidate Requirements

 Please have a Bachelor’s degree, required and an MBA preferred

 A minimum of 8 years of related legal practice group management/ administration experience; required, Immigration experience a plus

 Proficiency in Microsoft Office products required
