One of Arlington’s longest-running elected officials seeks an administrative assistant to support their office. You will coordinate with senior staff and the Director of Administration in handling event logistics, directing responses to various inquiries, setting deadlines, and requesting timely follow-up on questions from the office.  All work involved is confidential.

Responsibilities include:

 o   Performing highly responsible administrative support, utilizing effective office management techniques to assist the Sheriff with her workload by maintaining communications, confidentiality, and documenting tracking/management necessary to work with the divisions and sections of the office as well as internal and external organizations.

o   Drafting and word processing a variety of correspondence, memoranda, reports, departmental orders, etc. for the official’s signature, as well as special presentations for division heads;

o   Preparing/reviewing reports and documentation, including reviewing work to ensure that all are prepared in the appropriate format and that the content, grammar, and spelling are accurate;

o   Acting as a resource to other department staff concerning format, office procedures, and standard business practices;

o   Fielding, documenting/tracking, researching, and resolving or referring a wide variety of citizen, internal, and/or external organizational inquiries received by the office;

o   Managing multiple calendars and databases of information;

o   Preparing presentations and other materials for distribution in advance of a variety of meetings/events;

o   Maintaining the official’s calendar and scheduling/coordinating appointments, meetings, conference calls, etc., tracking expenses and ensuring the supervisor is aware of appointments and topics;

o   Making travel and conference/training arrangements for other staff as needed, including tracking expenses;

o   Tracking assignments within the Department;

o   Participating in briefings and/or staff meetings to note assignments as well as identity and communicate deadlines;

o   Interacting with other local organizations/agencies concerning scheduling/planning events that require the official’s attendance or participation;

o   Interacting with other high-level and elected officials regularly;

o   Acting as a liaison between the public and other staff to the official and performing daily maintenance on social media sites.

Qualifications

A high school diploma or equivalent, a bachelor’s degree is preferred

3+ years of progressively responsible administrative support experience to an executive, senior manager, or attorney.

Advanced knowledge of Microsoft Word, Excel, Outlook, PRISM, or similar software
